Who we are

Quantum Sphere Consulting Limited, trading as Table for One Press, is the data controller for this website and for orders placed through it. It is registered in England and Wales, company number 15854885, with its registered office at Office Suite 3, Shrieves Walk, Stratford-upon-Avon, England, CV37 6GJ. Information you choose to provide

The Letter signup asks for your email address. The correction form collects the guide, passage or place, your correction, and any source link or contact email you choose to add. The optional reader questionnaire collects your answers about travel and using the guide, including any background you volunteer. Please do not include sensitive personal information.

The Founding Readers application collects your first name, email address, age range, chosen guide and trip timing. The Founding Readers feedback form collects your answers and, if you say yes to quoting, the name you want shown. We use these to choose readers, send the free guide and ask for feedback. They do not subscribe you to The Letter.

Some Letter signups come from an optional question in our Facebook group. Group admins and moderators can see those answers. Email addresses go to MailerLite, and we keep a record of your consent.

When you buy

Guides and planning kits sold on this site are bought at Payhip’s checkout. Payhip collects your name, email address, billing country and payment details to take payment, email your receipt and download link, and handle tax. Payment details go to Payhip and its payment providers, not to us. We see the order itself: what you bought, your name, email address and country. Buying a download does not sign you up to The Letter. If you buy on Amazon instead, Amazon is a separate controller and its own privacy notice applies.

Why we use it, and our lawful basis

• Orders: to supply what you bought and keep accounting records. The lawful bases are contract and legal obligation.
• The Letter: to send the newsletter. The lawful basis is your consent, which you can withdraw at any time with the unsubscribe link.
• Corrections, questions and feedback: to check and fix the guides, answer you if you leave contact details, and improve later editions. The lawful basis is our legitimate interest in keeping the guides accurate. Optional answers and permission to quote you rest on your consent.
• Running the website: hosting, security and fixing faults. The lawful basis is our legitimate interest in a secure, working site.

Who receives it

We use a small number of providers, who act on our behalf or for their own purposes as they explain in their privacy notices: Payhip (checkout, payments, delivery of downloads, tax), MailerLite (the email list), Netlify (website hosting and the forms on this site), and Google Fonts (the typefaces). Emails you send us are held in our mailbox. Netlify and Google receive technical request information such as your IP address, browser and the time of the request when a page loads. We do not sell or rent your information, and the site uses no advertising, tracking pixels, session recording or analytics cookies. The larger-text setting is saved only in your own browser.

How long we keep it

• Order records: six years, the period UK tax and company law requires.
• Newsletter address: until you unsubscribe or ask us to delete it. We remove it from our list within 30 days of a request.
• Corrections, questions and feedback: contact details you give are deleted when the matter is closed, or after 12 months at most. A correction itself, without your details, may stay in our editorial records.
• Website logs: held by Netlify for the period its own policy sets.

Transfers outside the UK and EEA

Some of these providers are based in, or process information in, the United States or other countries outside the UK and the European Economic Area. Where that happens, the transfer relies on a safeguard recognized in UK and EU law, such as an adequacy decision or standard contractual clauses, as set out in each provider’s own privacy notice. Ask us if you would like more detail.

Your rights

Under UK and EU data-protection law you can ask us for a copy of the personal information we hold about you, and to correct it, delete it or restrict how we use it. You can ask for it in a portable form where that applies, and you can object to our use of it, including for direct marketing. Where we rely on your consent, you can withdraw it at any time; that does not affect what we did before. Email us and we will reply within one month. You can complain to the UK Information Commissioner’s Office or to the data-protection authority where you live.

Children and changes

The site is intended for adults. When this policy changes, we update the date at the top.
